RAFT Consulting Ltd. is a growing structural engineering firm working on residential, commercial, and industrial projects across the Lower Mainland. We are looking for a reliable, organized Virtual Office Administrator to support our day-to-day operations and help us deliver professional service to our clients.
Job Summary
We are seeking a part-time Virtual Office Administrator (approximately 8 hours per week) to assist with general administration, client communication, invoicing, scheduling, and light marketing tasks. This role is ideal for someone who is detail-oriented, proactive, and comfortable working independently from home.
Responsibilities
Answer and return phone calls; take messages and respond to basic client inquiries.
Schedule and coordinate meetings, site visits, and calls using Outlook or similar tools.
Prepare, process, and follow up on invoices and payments.
Maintain and update digital client and project records (file organization, basic data entry).
Assist with email correspondence and calendar management.
Support basic social media and online marketing (e.g., posting updates, helping with online ads, updating profiles).
Assist with preparing simple documents, forms, and templates (Word, Excel, PDF).
Other administrative tasks to support the structural engineering team as needed.
Skills
Previous office administration experience is an asset (professional or co-op/student experience both welcome).
Strong verbal and written communication skills in English.
Comfortable handling client communication by phone and email in a professional manner.
Strong proficiency with Microsoft Office, including Word, Excel, and Outlook.
Confident using email, digital calendars, and basic PDF tools; strong digital file organization skills.
Experience with invoicing/accounting software (e.g., QuickBooks or similar) is an asset but not required.
Familiarity with social media platforms (LinkedIn, Instagram, etc.) and basic online marketing is an asset.
Strong attention to detail, organization, and time management.
Ability to work independently and manage your time with minimal supervision.
Must be located in the Lower Mainland, BC.
