Pay: $30.00 per hour

Schedule: Monday to Friday

Work Location: Hybrid remote in San Francisco

Bay Area Medical Academy is a community based, woman-owned healthcare training school (San Francisco and San Jose, CA) that is committed to assisting individuals with their career aspirations. We offer Medical Assisting programs with Phlebotomy & EKG as Continuing Education courses.

The Externship Coordinator Manager (Clinical Placement Manager) supports our San Francisco and San Jose campuses in order for students to complete their clinical training at various healthcare facilities throughout Northern CA.

Our school policy requires Faculty & Staff members to show proof of vaccination upon hire.

RESPONSIBILITIES:

Manage externship placements in collaboration with academic leadership and external supervisors
Provide administrative leadership, set project milestones, and monitor progress to ensure timely execution
Communicate via email, phone and/or in person with educators and / or placement coordinators in hospitals, clinics and doctor offices to develop clinical placements for our students.
Collaborate with students on externship placements, schedules, and clinical requirements to ensure an efficient process
Coordinate with manager(s) to determine the number of student placements needed at each class (Phlebotomy, Medical Assisting)
Coordinate, track, and follow up on requirements for externship placements (immunization records, certifications, etc.)
Ensure that all ‘onboarding’ has occurred for each student and provide assistance when required
Ensure that students have uploaded and followed through with requirements for placement
Prepare and process externship packets with required documents and items prior to their placement
Identify facility requirements at each clinical placement location for onboarding and orientation
Partner with employers on requests for externship placement; execute requests in an efficient, time sensitive manner
Handle high volume of phone calls, email correspondence, data entry, and filing to maintain detailed communication with students and employers
Coordinate students for lab sessions
Conduct externship presentations for Phlebotomy and Medical Assisting classes
Provide prompt and courteous customer service while resolving students' issues
Perform other responsibilities and projects as directed by Founder/Placement Team.
Create new employer partnerships within the area.
REQUIREMENTS:

High School or GED required; college degree preferred
Minimum of 3-4 years excellent administrative/customer service experience or related work experience from education institutions or healthcare facilities,
Professional demeanor with exceptional customer service who has the strength of developing and maintaining business relationships
Flexible person who is comfortable with a changing environment
Strong oral and written communication skills
Highly organized and committed with strong prioritization and time management skills
Maintain confidential and sensitive information at all times
A true go-getter, able to reach out to appropriate sources to find the information needed to be successful
Experience supporting with calendar management, meetings, and events
Proficient in Microsoft Applications & Google Applications
Must be able to commute to both campuses as needed
PREFERRED REQUIREMENTS

· 1 plus year of management or supervisor experience

· Background in trade vocational school or education

· Strong communication skills (written and verbal)
