Job Description
Neptunus is a service company. The first step of delivering excellent customer service begins with order processing; order confirmation and order delivery. All 3 facets of customer service lies with the commercial/supply chain management teams. In this role, you will be responsible for delivering excellent customer service by ensuing a smooth delivery experience in the final stage of order execution: from the time dispatch of goods begins, to error free documentation, hassle free custom clearance, and cost-effective freight and transportation operations. This role will also require the individual to have a deeper understanding of how engineering goods can be imported/exported out of the country keeping in mind legal requirements and compliances.
Your work philosophy must be delivering QVC to the customer. QUALITY customer service, with VELOCITY and within agreed COSTS that ensure Neptunus and the customers commercial gains are maintained.
Roles and Responsibilities
Co-ordination and Communication
Responsible for EXIM Imports & Exports Documentation, KYC for custom clearance for all shipments done for Neptunus customers
Co-ordinate with Neptunus Warehouse for any goods arrivals and dispatch by ensuring error free packing lists; documentation and with SEZ officials for proper custom clearance for goods moved through SEZ.
Co-ordinate with Freight Forwarders, CHA, Transporters for Freight and Transport Negotiations
Overseeing Fumigation of material; and container stuffing for LCL and FCL shipments remotely
Commercial Invoicing and Documentation
Preparing CIPL and Bank Letters with all required updates such as assessment value; duty and freight costs etc (export invoicing, packing list, bank letters etc.)
Preparing Invoices for Clearance from Excise & Customs Authorities.
Movement of goods from Neptunus Warehouse to Neptunus Free Trade Zone
Cross-checking Shipping Documents and details(such as consignee details; notify parties, addresses; Port of Loading/dispatch etc) from principals and Freight Forwarders of customers
Reviewing LC Terms and Conditions for all LC Shipments and preparation of LC documents for Bank Purposes
Adhering to Incoterms 2020 Guidelines for shipping and logistics
Administrative and Legal Compliances
Arranging Insurance policies and certificates for export shipment based on shipment value
Booking cost-effective freight options for movement of goods under Neptunus Scope
Keeping abreast with RBI regulations for export of material and goods
Updating HSN Codes in all Commercial Invoices
Maintain MIS by furnishing and storage of shipping documents of all shipments as proof of delivery for easy tracking for Neptunus Finance and Acounts Team

Persuasive: Negotiating better Freight Rates, or understanding legal compliances and changes in EXIM laws through EXIM consultants - M
Reading/Self-Learning to get problems/queries resolved - M
Knowledge (Functional and Non-Technical):
Complete knowledge of all shipping processes and shipping documentation requirements for air freight; sea freight, MTT and for High Sea Sales - M
Complete knowledge of all shipping documentation for country-specific imports and custom clearance requirements such as ACID code for Egypt Imports and other requirments for sea-freight shipments into USA - M
Complete knowledge of Incoterms 2020 - M
Understanding the implications of details on shipping documents such as MAWB and HAWB to begin clearance and to track shipments - M
Experience of working in a CHA or in the EXIM department of an organization with sizeable imports/exports (atleast INR 75 Crore of imports/exports per year) - M
Has a vast network of Frieght Forwarders - M
Understanding of how container stuffing works - M
Experience of dealing with shipments to/from Egypt and USA apart from countries in Europe - N
Experience of MTT transactions and Trans-Shipments- N
Skills (Functional and Non-Technical):
Basic MS Excel and SAP(or any other ERP) competence - N
Basic use of tools such as PDF Sejda for quick editing of documents - N
Ability to communicate with suppliers in Europe, USA and Japan in fluent English over emails and phone - M
