Job Description

Qualifications
The ideal candidate will have 3+ years of relevant experience supporting senior executives and/or managing an office
This position requires a highly organized, discrete, and motivated individual who can effectively interface with both internal and external counterparties
Bachelor’s degree
3+ years of experience supporting executive level management, preferably within the private equity or financial industry
Strong working knowledge of MS Office Suite, especially Excel, Word, and Outlook
Superior communication (oral and written) and interpersonal skills
High sense of professionalism, urgency, accountability, attention to detail, prioritization skills, and organization
Ability to maintain a high degree of confidentiality and handle private information with utmost discretion
Ability to work independently, proactively, and be a self-starter
Ability to lift 50 or more pounds
Ability to work in Uptown Dallas office
Licensed driver with reliable transportation
US work authorization

Responsibilities
Office Management: Oversee day-to-day functions of the office including ordering and stocking supplies, scanning, notarizing documents, shipping packages, submitting building maintenance requests, etc
Meeting Facilitation: Assist in scheduling meetings based on attendee availability, send calendar invites, and coordinate logistics
Travel Arrangements: Book flights, lodging, and ground transportation for internal and external parties
Calendar Management: Manage the CIO and other executive calendars – schedule meetings, conference calls, and appointments across time zones
Communication and Correspondence: Act as point of contact between executives, employees, investors, and other external parties
Oversee general inboxes and voicemail, forwarding to appropriate parties
Coordinate investor requests and deliverables
Event Planning: Organize team building events and office celebrations
Coordinate logistics including reservations, catering, calendar invites, etc
Human Resources and Compliance: Post open roles, filter applications, arrange interviews, and onboard new hires
Administer cybersecurity training
Financial Support: Assist the CFO with certain financial activities including receipt tracking, expense reimbursement, and invoice processing
Data Management: Update and document communication and meeting activity within the firm’s Client Relationship Management (CRM) tool
Personal Assistance: Provide personal support to the CIO as needed – schedule appointments, make reservations, run errands, and ad hoc tasks

VWH is seeking a high-caliber candidate to join our close-knit team and make an immediate impact in our growing firm. The Executive Support/Coordinator will work directly with our CIO/Founder and senior management team. The ideal candidate will have 3+ years of relevant experience supporting senior executives and/or managing an office.
